Kleo Tax Archive FAQ

Kleo Tax Archive Service

1.	How much does the service cost?
	For $35, Kleo Tax Archive will store your tax documents for 7-years. And you can access them as many times as you like.

2.	What’s included?
	Each Tax Vault can store up to 100 MB of Tax Documents. All Vaults are archived 7-years, giving you unlimited Safe & Secure access

3.	How is this different than storing on my Hard Drive?
	Hard Drives are not permanent storage, and only last 3 – 5 years. Not to mention how hard it is to find tax documents on a hard drive when you need them. With Kleo Tax Archive, you can store your most important financial records Safe & Secure for 7-years for less than it costs to take your family to the movies.

4.	Why are tax documents stored for seven (7) years?
	Depending on the type of document, the IRS requires businesses to retain their tax documents from 3 – 7 years. Therefore, Kleo Tax Archive stores your documents for 7-years.

Tax Vault

1	What’s a Vault?
	Kleo Tax Archive organizes documents by fiscal year. Each fiscal year is a Tax Vault.

2	What can I store in my Vault?
	Customer’s can store any financial records they like in a vault. We recommend customers convert each document to PDF before uploading. This ensures documents are viewable, long after they are created.

3	What is a Sealed Vault?
	Kleo Tax Archive protects your documents from deletion by “sealing” a vault. After being sealed, no further changes can be made to the Vault. This ensures your documents are Safe & Secure for 7-years.

4	Why would I Seal a Vault?
	By sealing a Vault, you ensure the documents are protected from accidental deletion. This is particularly important if you allow other members of your organization to access your vault.

5	Can Vaults be “Un-Sealed”?
	No. Once a vault is sealed, it is permanently protected from deletions.

6	What are Vault Credits?
	A Vault Credit is the unit of purchase. Each fiscal year you choose to store requires an additional Vault Credit. Customers may want to purchase multiple Vault Credits to save time when uploading several years of tax documents.

Tax Documents

1	How long are my tax documents kept?
	Each document is associated with a particular Tax Vault. Tax Vaults are kept 7-years from the date they are opened. Tax documents are therefore kept for the same time.

2	Can I remove tax documents?
	Tax documents can only be removed from “Un-Sealed” Tax Vaults. Once a Tax Vault is sealed, no documents can be removed.

3	Is there a limit to the number or size of tax documents?
	Each Fiscal Year Tax Vault can hold 100-MB of tax documents. The 100-MB can be shared by any number of documents in the Vault. There is no limit to the number of documents.

4	Are my tax documents secure?
	The Kleo Tax Archive is protected with SSL encryption which ensures confidential access. You can create as many accounts as you need and each has its own login & password. For control, only the Organization’s CEO or CFO can make changes to accounts.

5	Is it safe to send tax documents over the Internet?
	Kleo Tax Archive maintains an SSL Certificate to ensure confidential Internet communications. All communication with the service is encrypted to maintain strict confidentiality of your tax documents.

6	Are my document encrypted?
	All documents are stored in the format you upload them. If you encrypt a document before uploading, the Kleo Tax Archive will preserve the encryption. Keep in mind, the service is intended as a long term archive. If you choose to encrypt your documents, make certain you keep the encryption key someplace safe for 7-years or your documents will not be able to be decrypted.

iPhone / iPad App

1	Is the iPhone the only smart phone you support?
	At present, the iPhone and iPad are the only mobile platforms supported. Additional platforms are in the works. Feel free to let us know which you use so we can schedule accordingly.

2	Is the iPhone App secure?
	The App uses the same SSL Encryption technology found in the browser on your desktop. This ensures the highest level of secure communications.

3	What format tax documents can the iPhone / iPad view?
	The iPhone / iPad application is limited to viewing PDF and TIFF documents. We recommend you convert tax documents to PDF before uploading to ensure they are viewable on your mobile device.

4	What if my tax documents are in a format other than PDF / TIFF?
	The App enables customers to forward the document through email. The documents can then be opened on the desktop.

5	How do I create PDF documents?
	MicroSoft Word, Excel and Outlook all have the ability to create PDFs. If you have tax documents from another application, you can install any of the freely available PDF converters. We recommend the excellent application CutePDF Writer – http://www.cutepdf.com/products/CutePDF/writer.asp

6	Does the App integrate with the iPhone / iPad Contacts?
	The iPhone / iPad App directly integrates with your Contacts. This makes forwarding documents a snap – and saves you having to retype email addresses.
